As an Executive Assistant, you will have the following responsibilities:
- Book, coordinate and manage travel arrangements for the reporting manager
- Prepare, reconcile, and submit expense reports
- Contribute to the planning, organization and execution of special projects, company events and initiatives. Provide logistical support, including coordinating vendors, materials and resources.
- Keep the reporting manager advised of time-sensitive and priority issues, ensuring appropriate follow-up
- Schedule departmental meetings, assist in preparation and distribution of meeting agendas and materials
- Support to maintain the reporting manager's calendar
- Serve as a liaison between the reporting manager and other stakeholders. This includes receiving and screening the reporting manager’s emails
- Attend selected meetings and prepare initial drafts of minutes and summaries
- Organize company lunches/dinners and restaurant reservations
- Routinely perform a wide variety of support duties
- Maintain confidential and sensitive information
As the Office Admin, you will have the following responsibilities:
- Handle new and renewal of general office agreements and contracts, e.g. office lease, internet and mobile phone plans, air-conditioning maintenance servicing.
- Purchase and replenish general office supplies, like stationery and pantry items
- Responsible for general office tidiness and cleanliness through supervision of part-time office cleaner
- Coordinate with the 3rd party IT vendor on IT on-site visits and schedule IT maintenance visits
- Arrange international and domestic courier services, e.g. documents and marketing material - Support interaction with company service providers as needed, e.g. Singtel
- Work with internal and external stakeholders on local authority filing requirements, like ACRA filing, e.g. getting the local Director to sign documents and return to corporate secretarial office
- Other additional and/or alternative duties as assigned from time to time

To excel in this role, you should possess excellent communication skills, attention to detail, and strong interpersonal abilities. With a structured and organized working style and a can-do attitude, you'll interact seamlessly with high-level executives and handle sensitive and confidential information with professionalism and discretion. A motivated self-starter with minimally 5 years of prior experience supporting senior executives, you'll demonstrate sound judgment, prioritize effectively, and make decisions confidently.
