We are seeking an experienced and proactive office manager / executive assistant to join a newly established office of a global investment group. Reporting directly to the Head of APAC office, you will play a critical role in ensuring the smooth operations of the office while supporting the executive with a combination of administrative and business operations responsibilities. Key Responsibilities:
- Manage complex calendar scheduling, ensuring efficient time management for the executive.
- Coordinate travel arrangements, including flights, accommodations, visas, and itineraries.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Act as the main point of contact for the executive, handling correspondence and communication.
Office Management:
- Oversee the day-to-day operations of the office, ensuring a professional and organized environment.
- Manage office supplies, vendor relationships, and maintenance needs.
- Ensure compliance with local regulations and company policies.
Business Operations Support:
- Assist in reviewing and maintaining CRM data and client records
- Research and analyze industry news and competitor insights to provide updates to the team.
- Contribute to strategic projects aimed at growing the company’s presence within the APAC region.
skills and experience required
Candidates should have at least 5 years of experience in an Executive Assistant or Office Manager role, ideally within Financial Services, Investment, or related industries. Strong interpersonal and communication abilities, along with confidence in engaging with stakeholders at all levels, are highly valued. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with CRM systems are required.
