about the job
- You’ll act as the first point of contact / gatekeeper for the Managing Director, e.g. dealing with correspondences and phone calls, monitoring the Managing Director’s email and responding if required.
- You’ll perform the full spectrum of administrative and secretarial support duties to the Managing Director, e.g. manage the Managing Director’s calendar and appointment scheduling.
- You’ll manage the daily/weekly/monthly meeting agenda and arrange new meetings and appointments.
- You’ll file and update contact information of customers, counterparts, and external partners.
- You’ll prepare presentation materials, meeting minutes and reports.
- You’ll prepare and disseminate correspondence and memos.
- You’ll assist the Managing Director in collating and filing travel and/or business expenses, including insurance claims.
- You’ll conduct research and provide information as requested by the Managing Director.
- You’ll manage travel arrangements and itineraries, e.g. booking and arranging of accommodation and transportation.
- You’ll act as backup for managing travel arrangements for the whole company.
- Any other ad-hoc duties as assigned by the Managing Director.

To succeed in this role, you need to possess a minimum 3 years of c-suite / management secretarial support experience. You need to be able to operate independently, with minimal supervision. You should be resourceful in situation handling, and Systematic and meticulous in handling confidential information.
