1, Office Administration
Maintain and oversee office facilities, equipment, and supplies, including creating maintenance. schedules and inventory management systems. Coordinate with vendors and service providers, managing contract negotiations and maintaining strong relationships with key suppliers. Serve as the first point of contact for office visitors, handling reception duties and ensuring a professional environment. Manage communication channels including phone calls, emails, and internal chat systems with prompt response times. Implement and maintain a robust filing system for both physical and digital documents
2, Finance & Documentation
Process incoming invoices and other documents. Create and maintain organized databases for various office operations. Assist in basic bookkeeping tasks and expense tracking. Maintain updated vendor contracts and service agreements. Handle petty cash management and reconciliation.
3, HR Support
Organize and maintain confidential employee records. Assist with CPF submissions and IRAS tax filings according to Singapore regulations. Support HR documentation including employment passes and work permits. Assist with MOM compliance documentation
4, Travel Management
Arrange business travel including flights, accommodations, and ground transportation. Create comprehensive travel itineraries with necessary details like meeting locations and emergency contacts. Research and implement cost-effective travel solutions. Manage travel insurance coverage and claims
5, Additional Strategic Support
Conduct basic market research for business opportunities. Support the preparation of management reports and presentations. Assist with event planning and coordination when needed. Help maintain company policies and procedures documentation
skills and experience required
To excel in this role, the successful candidate must be highly adaptable, have a strong willingness to learn new systems, IT tools, and have an eye for detail, ensuring the smooth functioning of the office and contributing to the overall efficiency of the organization. A motivated self-starter with minimally 3 years of office management experience and able to work in a small team. Proficiency in Microsoft Office Suite, particularly Outlook, Word, PowerPoint, and Excel is essential..
